Transfer Workflow

Transfer returned items between store locations for specialist repair, supplier returns, or centralised processing.

The Transfer Workflow moves returned items between your store locations. This is used when an item needs to be sent to a different facility for specialist repair, supplier return, dangerous goods handling, or other reasons.

When to Transfer

Creating a Transfer

Initiate Transfer

  1. Open the RMA for the item that needs transferring
  2. Click Transfer or navigate to the transfer option
  3. Select the destination location (e.g. master store, specialist facility)
  4. Choose a transfer reason from the dropdown
  5. Add any notes about the transfer
  6. Confirm the transfer

Generate Transfer Label

A shipping label is generated for the inter-location shipment:

  1. Print the transfer label
  2. Pack the item securely
  3. Ship via the designated carrier

Track in Transit

The transfer appears on the Incoming Transfers page at the destination location. Both locations can track the shipment status.

Receive at Destination

When the item arrives at the destination:

  1. Go to Incoming Transfers
  2. Find the transfer and click Receive
  3. Confirm the item matches expectations
  4. The item is now available for processing at the new location

Transfer Statuses

Pending → Label Generated → In Transit → Received
                                        ↘ Cancelled

Incoming Transfers Page

The Incoming Transfers page shows all transfers destined for your location:

  • Filter by status (pending, in transit, received)
  • View transfer reason and origin location
  • Receive transfers individually or in bulk
  • Track shipments with carrier tracking links

Hub-and-Spoke Model

If you use a master store / hub routing setup, transfers typically flow from child stores to the master location:

Child Store A ──→ Master Store (hub) ──→ Supplier / Repair
Child Store B ──→ Master Store (hub) ──→ Restock / Redistribute

Use transfer reasons consistently across your team. The data helps identify which locations need additional capabilities or stock to reduce transfers over time.
