Transfer Workflow
Transfer returned items between store locations for specialist repair, supplier returns, or centralised processing.
The Transfer Workflow moves returned items between your store locations. This is used when an item needs to be sent to a different facility for specialist repair, supplier return, dangerous goods handling, or other reasons.
When to Transfer
| Reason | Description |
|---|---|
| Specialist Repair | Item needs equipment or expertise not available at this location |
| Supplier Return | Item needs to go back to the supplier for warranty or replacement |
| Dangerous Goods Handling | Item contains dangerous goods requiring specialised handling facilities |
| No Stock Locally | Replacement stock only available at another location |
| Customer Dispute / QA Review | Case requires management review or quality assurance evaluation |
| Complex Diagnosis | Advanced diagnostic tools or technical expertise needed |
| Parts Unavailable | Required repair parts only available at the master facility |
Creating a Transfer
Initiate Transfer
- Open the RMA for the item that needs transferring
- Click Transfer or navigate to the transfer option
- Select the destination location (e.g. master store, specialist facility)
- Choose a transfer reason from the dropdown
- Add any notes about the transfer
- Confirm the transfer
Generate Transfer Label
A shipping label is generated for the inter-location shipment:
- Print the transfer label
- Pack the item securely
- Ship via the designated carrier
Track in Transit
The transfer appears on the Incoming Transfers page at the destination location. Both locations can track the shipment status.
Receive at Destination
When the item arrives at the destination:
- Go to Incoming Transfers
- Find the transfer and click Receive
- Confirm the item matches expectations
- The item is now available for processing at the new location
Transfer Statuses

| Pending | Transfer created, awaiting label generation |
| Label Generated | Shipping label created, ready to ship |
| In Transit | Item shipped, on the way to destination |
| Received | Item arrived at destination location |
| Cancelled | Transfer was cancelled before completion |

Incoming Transfers Page
The Incoming Transfers page shows all transfers destined for your location:
- Filter by status (pending, in transit, received)
- View transfer reason and origin location
- Receive transfers individually or in bulk
- Track shipments with carrier tracking links
Hub-and-Spoke Model
If you use a master store / hub routing setup, transfers typically flow from child stores to the master location:
Child Store A ──→ Master Store (hub) ──→ Supplier / Repair
Child Store B ──→ Master Store (hub) ──→ Restock / Redistribute

Use transfer reasons consistently across your team. The data helps identify which locations need additional capabilities or stock to reduce transfers over time.
